Mastering Financial Control with RealCube’s Procure-to-Pay (P2P) Solution

In real estate, every expense shapes profitability. RealCube’s Procure-to-Pay (P2P) solution digitizes and controls the entire spending cycle from requisition to payment, with automated checks, budget controls, and compliant workflows.

Key Features & Capabilities: Engineering Financial Discipline

The RealCube Solution: Procure to Pay

The RealCube Solution: Procure to Pay

The RealCube Procure to Pay module enforces a "Commitment-Based" accounting model, ensuring strict financial discipline from requisition to settlement.

By integrating directly with the General Ledger, the system automates budget checks, fund reservations, and liability accruals in real-time. This guarantees that every expenditure, regardless of size, undergoes rigorous validation, approval, and audit traceability

The Operational Challenge: The Cost of Disconnected Procurement

Maverick Spending & Budget Overruns
Maverick Spending & Budget Overruns

Without a system that enforces pre-approval, purchase orders are often raised without checking available budget limits. This leads to "surprise" costs at the end of the month that exceed project or operating budgets

Inefficient Invoice Processing
Inefficient Invoice Processing

Manual handling of non-LPO invoices (such as utility bills or legal fees) versus PO-linked invoices creates disjointed workflows. This fragmentation increases the risk of duplicate payments, missed due dates, and strained vendor relationships.

Lack of Accrual Visibility
Lack of Accrual Visibility

In legacy systems, expenses are often only recognized when an invoice is booked, not when the service is delivered. This "cash basis" lag distorts financial reporting, making it impossible to see the true liability of the company in real-time.

Regulatory & VAT Compliance Risks
Regulatory & VAT Compliance Risks

Managing input VAT recovery across different supplier types, standard rated, exempt, or RCM (Reverse Charge Mechanism), is prone to human error.

End-to-End Process Flow: From Procure-to-Pay

Requisition & Budgeting
Requisition & Budgeting

A user raises a Purchase Request (PR). The system validates the request against the active Budget Scenario. If budget exists, the PR is routed for approval; if not, it triggers a rejection or budget transfer workflow.

Sourcing & Quotation
Sourcing & Quotation

For new requirements, a Request for Quotation (RFQ) is sent to registered vendors. Received quotes are compared technically and commercially. The selected vendor is flagged, and the PR is converted to a Purchase Order (PO).

Order Issuance

The approved PO is generated and emailed to the vendor. At this stage, the budget is formally 'Reserved' (Committed), though no financial journal is posted yet.

Delivery (GRN)
Delivery (GRN)

Upon delivery, storekeepers or engineers process a Goods Receipt Note (GRN). The system instantly posts an accrual entry (Dr Expense, Cr Uninvoiced Liability), recognizing the cost immediately.

Invoice Booking
Invoice Booking

The Finance team receives the vendor invoice and enters it into the system. The system performs a Three-Way Match (PO vs. GRN vs. Invoice). If matched, the GRN accrual is reversed, and the actual Vendor Payable is booked.

Payment Execution
Payment Execution

Based on due dates, a Payment Proposal is run. Payments are executed via Cheque or Bank Transfer. The Vendor Payable is debited, and the Bank (or PDC Clearing) account is credited, finalizing the cycle.

Data & Reporting: Financial Visibility & Analytics

Vendor Aging Report
Vendor Aging Report

A critical tool for cash flow planning, showing outstanding payables categorized by due date slots (0-30, 31-60, 61-90 days), helping prioritize payments and avoid penalties.

Budget vs. Actuals
Budget vs. Actuals

A real-time variance report comparing the 'Budgeted' amount against 'Committed' (PO issued) and 'Actual' (Invoiced) spend. This highlights potential overruns before they happen.

PDC Register
PDC Register

A dedicated report tracking the status of all issued post-dated cheques, categorized by maturity date, vendor, and clearance status (Issued vs. Cleared vs. Bounced).

GRN Accrual Report

Lists all open GRNs for which invoices have not yet been received, allowing the finance team to accrue accurately for month-end closing.
